Your CSD supplier-registration lesson

Create an activated user account, complete the supplier profile, inspect verification and prepare current supplier evidence for public procurement.

Beginner friendlyPractical tutorial + quizReviewed 14 October 2026

What you will learn

  • Separate user activation from supplier-record submission.
  • Prepare accurate records for your supplier type.
  • Capture appropriate commodities, locations and credentials.
  • Inspect verification and maintain a current supplier record.

1. Understand the supplier record you are creating

The Central Supplier Database is National Treasury’s supplier-information system for public procurement. Registration has two distinct stages: an activated user account and a completed, submitted supplier record. A login allows access; it does not by itself mean that your business information has been captured, submitted or verified.

Treat the record as your business’s supplier identity. It must describe the supplier that will bid, deliver and receive payment. A company and its director are different identities. A sole proprietor should use the applicable individual supplier particulars rather than inventing a company registration number. Trusts and other entities have their own identification requirements.

CSD registration does not award a tender, guarantee invitations or establish eligibility for every procurement. The buyer’s bid documents still control requirements for a particular opportunity. After registration, use our tender application lesson to learn how to check those requirements before spending money preparing a submission.

2. Gather the right information and source documents

The official process lists information according to supplier type: identification, industry, contacts, addresses, relevant banking and tax details, directors or members, commodities and applicable accreditation. Keep the underlying records available so that you can capture accurately. The preparation pack is not a claim that every supplier uploads the same documents.

For a company that is not yet formed, begin with our CIPC registration lesson. If banking is outstanding, use the business banking lesson and obtain accurate particulars before relying on the CSD banking result. Some registration activity can begin while preparation continues; a partially completed supplier record should still be treated as work in progress.

3. Create and activate your user account

Start from the official CSD user-registration page. Capture your own applicable user particulars, choose the requested security details and complete the portal’s activation process. This includes the confirmation messages and verification requested by the current service. Screen labels may change; follow the official instructions displayed at the time.

Check the email address before submitting it and make sure the cellphone is available. If activation messages do not arrive, check the captured contact details and email filtering, then use the official recovery options. Repeatedly creating accounts with slightly different email addresses can make later administration harder to understand.

A consultant may assist, but the business should understand who controls the account and how authorised access will continue if that consultant or employee leaves. Keep passwords and OTPs private. Where additional users are needed, use the system’s authorised user-administration functions rather than sharing one password among staff.

4. Add the supplier and work through the profile

Identify the supplier

After activation, sign in and open Supplier Details, then Add Supplier as directed by the official registration process. Choose the identification that matches the actual supplier. Enter accurate particulars from the records you prepared. Keep the company, individual or other supplier distinction consistent through the rest of the profile.

Capture contacts and addresses

Add the person who can respond to procurement enquiries and maintain supplier administration. Enter the physical and postal details carefully. If the portal asks for more than one address or contact, use each field for its stated purpose. A buyer must be able to reach the right person; an unattended email address can undermine otherwise accurate registration.

Complete the relevant tax, banking and related-party sections

Use the correct taxpayer and account particulars for the supplier. Complete director, member, owner or association details requested for your entity. Take a review pause after each section. Do not copy a director’s personal bank or tax details into company fields simply because those records are easier to find.

Choose industry, commodities and delivery locations

Select the classifications that best describe your actual activity. Add commodities you can supply and locations where you can perform delivery. Start with a defensible scope and maintain it as capacity changes. Selecting every possible category is not a substitute for building the skills, suppliers and logistics needed to deliver.

Capture applicable credentials and notifications

Enter the B-BBEE, accreditation and other information requested by the current profile where it applies. Make claims that the business can support with valid evidence. Configure notifications for authorised contacts. Review expiry dates and establish who will refresh evidence rather than leaving the profile unchanged indefinitely.

5. Review Overview, submit and inspect the results

Open the Overview section and review the information captured. Resolve required fields or outstanding items shown by the system, then submit the supplier details. Saving a draft and completing submission are different actions. Read the result carefully and record the identifiers and references issued for the supplier.

The official CSD process states that bank verification may take up to four days. Treat that as an allowance in planning, not a promise that every case will resolve automatically within a fixed period. Capture banking information well before a tender deadline and follow up on an unresolved result. Other checks can also need attention if the source records do not agree.

Inspect the actual verification outcomes instead of treating the presence of a supplier number as proof that every check passed. A submitted record can still have an outstanding banking or tax matter. Keep a small action log: check, status, underlying record, corrective action, responsible person and date for follow-up.

Our CSD status and banking-verification guide covers the verification topic in more depth. This registration lesson explains how to reach and review the submitted supplier record; it does not repeat that specialist troubleshooting guide as a competing page.

6. Prepare evidence for a particular tender

Download the relevant current supplier report from the official system when needed. Use our separate CSD report and MAAA number guide for report retrieval and interpreting the identifiers. Store the report with its download date, then check that its details still reflect the business.

Keep your supplier profile and tender returnables as separate lists. The buyer may ask for a CSD number or report, declarations, pricing schedules, experience evidence, licences, briefing attendance or other specific documents. A complete supplier report cannot replace a missing mandatory bid form. Equally, a well-presented bid should not rely on unverified supplier details.

Do not treat a tax number as a tax-compliance result. For SARS administration, refer to the official Tax Compliance Status guide. Follow the particular buyer’s method of checking compliance and providing any required PIN or evidence. Current SARS guidance uses Good Standing for organisational TCS requests; historic tender-labelled screens should not be assumed to be the present workflow.

If the buyer requests B-BBEE or specific-goal evidence, read the actual requirement and the applicable sector rules. Do not assume that one affidavit fits every sector, turnover category or tender. Keep claims aligned with the valid evidence for your supplier and seek qualified help where the classification is uncertain.

7. Keep the supplier profile usable

CSD is an ongoing business record, not a once-off task to forget after your first tender. Revisit the profile when contact details, ownership, address, banking, tax or supply capability changes. Use the official update process and recheck the relevant results after submission.

Make a short monthly supplier-readiness review. Confirm that the responsible person can log in, the contact mailbox is monitored, the company particulars are current and any credentials are still valid. Before each bid, perform an additional check against that specific procurement’s requirements. These reviews serve different purposes and both can prevent last-minute surprises.

When banking changes, verify the new account particulars with the bank, update the supplier information correctly and allow time to inspect the verification result. Where an existing buyer must also amend its vendor or payment records, follow that buyer’s formal process. Changing a CSD field is not proof that every buyer’s payment system has already changed.

Use the official CSD support directory for national and provincial assistance. Include a concise description of the stage, date and message when contacting official support. Do not send portal passwords or OTPs. Use secure official channels for sensitive supporting evidence if requested.

For Gauteng bidding context, our Gauteng CSD tender guide provides the regional application route. Our government, SOE and municipal issuer guides help you find the actual buyer’s notices and requirements. Listing an institution in a guide does not imply that it endorses Fund The People.

9. Complete your supplier-registration learning check

These ticks are local learning aids. Completing them does not submit an official registration or prove tender eligibility. If a check is still outstanding, take the specific action recorded in your log before relying on the profile for a bid.

Next, open the tender application tutorial and practise reading a real notice. Discover opportunities through our Tender Portal, then verify the latest documents, amendments and submission route with the issuing buyer.

CSD registration questions and answers

What are the two stages of CSD registration?

Create and activate a user account, then add, complete and submit the supplier record. A working login alone does not complete supplier registration.

Is official CSD self-registration free?

Yes. An optional private provider’s assistance fee is separate from the official self-registration process.

Do all applicants upload the same documents?

No. Required information and evidence depend on the supplier type and current profile. Prepare source records for accurate identification, contacts, addresses, relevant banking, tax and credentials.

Can an individual or sole proprietor register?

Use the applicable supplier identification for the actual business structure. Do not invent company particulars to fit an individual supplier into a company record.

Does a supplier number prove all verification checks passed?

No. Inspect the relevant banking, tax and other results. Record and resolve outstanding checks before treating the profile as ready for a particular bid.

How long can bank verification take?

The official registration process says it may take up to four days. Start early and follow up on unresolved results; this is not a guarantee for every case.

Does CSD registration guarantee work?

No. Every procurement has its own eligibility, returnables and evaluation. CSD is supplier administration, rather than a contract award.

Where can I get a current report or fix verification?

Use our separate CSD report and verification guides linked in this lesson, and the official CSD support directory for unresolved system or record issues.

Quick quiz: check your learning

Answer all five questions, then review the explanations. Your score is a learning check, not an official certificate or a compliance assessment. No name, email or account information is required. Scores stay in your browser unless you choose to share them.
