CSD certificate, supplier report and summary report
Buyers and suppliers often use “CSD certificate”, “CSD registration report” or “CSD summary report” when asking for supplier information. Confirm exactly which record the buyer needs. A registration report identifies a supplier record and relevant information; it should not be treated as a tender award, company registration certificate or proof that every tender condition has been met.
MAAA supplier number and registration reference
Your CSD supplier number identifies the supplier; South African businesses commonly call it the MAAA number. The Unique Registration Reference Number is a separate identifier used in the official report instructions. Keep both accurately recorded. Company, tax and bank references serve different purposes and should not be substituted for either CSD identifier.
Before sending a CSD report with tender documents
- Confirm the supplier name and identifier match the bidder.
- Review contact, ownership and address information relevant to the opportunity.
- Inspect applicable banking, tax and accreditation indicators.
- Generate a current copy after meaningful supplier changes.
- Check the buyer’s required date, format and supporting documents.
- Keep the submitted report version with the quotation or bid record.
CSD report not found, missing or out of date
Confirm the identifiers and supplier record before trying again. An account created without a submitted supplier profile may require the remaining CSD registration steps. If the report reflects an unresolved check or old details, use our CSD status and verification guide to organise the correction.
Use the report in a tender and funding file
Continue with our CSD tender application guide for Gauteng or CSD tenders and quotations guide. For a qualifying awarded order, present the transaction and current supplier information with our Purchase Order Funding Solutions application. A report supports the file; the award and delivery costs still need assessment.
Official CSD report and support instructions
Use National Treasury’s registration and report instructions and the official contact directory. National support is listed at 012 406 9222 and csd@treasury.gov.za. Keep questions about the official supplier record separate from a funding enquiry to Fund The People.
Frequently asked questions about CSD reports and supplier numbers
Where can I download my CSD report?
The official registration-report route is on the CSD system. National Treasury directs users to Report and then Registration, where they enter the supplier number and Unique Registration Reference Number before selecting View Report. Use the report controls available in the system to save or print the copy required for your business records.
Begin with the supplier information issued to your business rather than a number copied from another company’s tender file. Check that the report displayed represents the correct supplier and review its contents before attaching it to a bid. A successful file download does not by itself establish that the information is current.
Store the report with a clear date and the tender reference when it is used for a particular submission. If the supplier details change, review the updated record and obtain the appropriate current copy. This gives your team a reliable version to work from and helps you answer questions about which supplier information accompanied the quotation or bid that was sent to the buyer.
Is a CSD certificate the same as a CSD registration report?
The phrase CSD certificate is commonly used when a buyer or supplier asks for evidence of CSD registration. National Treasury’s published instructions describe a registration report. Confirm the intended document with the buyer, especially when its notice uses a different term or asks for a specific report date.
A CSD registration report relates to supplier information held on the system. A company registration document, industry certificate and tax record each have a different role. Attaching the supplier report does not automatically replace those records where a buyer has specifically requested them.
Use a document checklist that names each requested item and the evidence attached. If a notice asks for a CSD certificate, record the clarification obtained and the report version supplied. That makes the submission easier to review and avoids guessing that one file satisfies several unrelated requirements. Keep the original source document intact and make sure the bidder’s identity is consistent across the report, bid declarations, quotation and any other documents sent with the response.
What is an MAAA number and where do I find my CSD supplier number?
The supplier number identifies the supplier registered on CSD. South African suppliers commonly refer to this identifier as their MAAA number. Use the number issued to your business and reflected in the supplier record or registration report, rather than constructing an example number from a guide.
The supplier number is distinct from a company registration number, tax reference and bank account number. Those references may support verification or identify other records, but they do not serve the same purpose in the official CSD report process. Keep each identifier labelled clearly in your tender administration file.
If you have only created a login and cannot find a supplier number, review whether the supplier profile has been completed and submitted. Our registration guide explains that distinction. Once the record is available, confirm the supplier name attached to the number before inserting it into a bid form. Accurate identifiers help procurement officials connect the tender response to the correct supplier information and avoid unnecessary questions about a mismatched record.
What is the CSD Unique Registration Reference Number used for?
National Treasury’s registration guidance states that a completed registration receives a supplier number and a 36-digit Unique Registration Reference Number. Its instructions for viewing the registration report use both identifiers. They should therefore be recorded as two separate references, with labels that make their purpose clear.
When retrieving a report, copy the reference accurately from the information issued to the supplier. Check for missing characters, extra spaces or a reference belonging to a different business before treating an unsuccessful lookup as a system fault. If the source record is unclear, use official support to establish the correct process.
Keep report access under authorised business administration and supply information through the buyer’s stated procurement channel when required. A public website or social post is not a useful place to maintain a supplier’s detailed report. Within the business, identify who holds the current record and how it is handed over when staff change. This preserves continuity without confusing the report reference with a login password, company registration number or tender reference.
Why can I log in but cannot find a CSD report or supplier number?
A CSD user account and a submitted supplier profile are different parts of registration. Being able to log in confirms account access, but it does not establish that the supplier information has been fully captured and submitted. Review the supplier record and the Overview information before expecting a registration report.
Check whether the correct supplier has been added, which required fields remain outstanding and whether the supplier details were submitted. If an authorised person or consultant previously managed the record, clarify what was completed and how your business can maintain it. A second account is not a substitute for understanding the state of the existing supplier record.
Follow our registration guide to organise the remaining work and use official support for an access or association problem. Keep the issue description precise: account access, missing supplier information and an unresolved verification result are different questions. Once the supplier record is complete and identifiers have been issued, use the official report process and review the resulting information before adding it to a tender file.
What should I do when a CSD report download or report lookup fails?
Start by checking the supplier number and registration reference used in the request. Confirm that both come from the same supplier record and that the information was entered accurately. Use the official report route so that you are dealing with the current system rather than an unrelated document-download service.
If the account or supplier record is not accessible, identify that as the specific problem. If a report opens but contains old or incorrect details, treat it as an information review issue. Separating those situations makes it easier to ask the right support question and avoid repeating the same request without resolving the cause.
Record the message displayed and the step at which the process stops. Ask official CSD support about that issue through the current contact channel. Within the business, retain the previous report as a historical submission record while making it clear that the current report is being checked. Follow the buyer’s instructions for any deadline or clarification instead of assuming an old document will always be accepted as the required evidence.
How recent must a CSD report be for a government tender?
Read the tender notice and returnable-document instructions for any requirement about the age or date of the CSD report. Buyers may describe the evidence they want differently, so use the actual notice rather than assuming a single recency rule applies to every government tender.
Generate or obtain a current report after meaningful changes to the supplier record. Relevant changes can include contact details, address, ownership, banking information and supporting compliance records. Keep the version used for the tender with the submission file so that the team can identify exactly what was sent.
The date of a report and the validity of a supporting certificate are different questions. A newly generated report can still reflect an outstanding issue, while a historical report may no longer represent the live supplier information. Review the contents and the buyer’s requirements together. If a requested document or date is unclear, use the authority’s published clarification process before closing. That gives your submission a clear basis without inventing a universal expiry rule for every supplier report.
Can I check a CSD number or supplier registration using the report?
The registration report helps identify the supplier record and the information represented at the time the report is generated. Check the supplier name, number and relevant details against the business submitting the quotation. For your own record, use authorised CSD access and the official report process to obtain current information.
Do not treat a number written on an invoice or email as a complete verification exercise. The buyer may need to consult the live system and review other evidence required by the procurement process. A report also needs to be read alongside the tender declarations, supplier identification and any additional returnables requested.
For a business preparing its own bid, keep one labelled set of supplier identifiers and check that the same identity appears throughout the file. If there is a trading name or an entity change, organise the supporting records so the relationship is clear. Where a lookup or discrepancy cannot be resolved from your own information, use official support rather than guessing another supplier’s registration reference or representing unverified information as confirmed.
Which CSD report details should I check before attaching it to a bid?
First establish that the report belongs to the bidder. Compare the supplier name and identifiers with the quotation and bid forms. Then review the information relevant to the opportunity, including contact, address, ownership and the applicable verification indicators shown in the record.
Check the tender’s instructions for the documents that need to accompany the report. A buyer may require signed declarations, pricing schedules, qualifications or other evidence that is not satisfied by the report itself. Use a returnables list that identifies each requested item and the file attached.
Finally, record the report version in the submission file. If the business updates its supplier information while a tender is being prepared, review whether a new copy is needed before sending the response. This is especially useful when several people contribute documents to one bid. A named owner for the final file can check identity consistency, document dates and the submission method together, helping the team send a clear pack that represents the business accurately rather than assembling attachments without a final review.
How does a CSD report support a Purchase Order Funding Solutions enquiry?
A current CSD report can support supplier information in an enquiry about a qualifying government or municipal order. It helps describe the business involved in the transaction. The funding assessment also needs the actual award or purchase order, supplier quotations, costs and delivery arrangements, so the report is one part of a wider file.
Prepare records that connect the same business to the same awarded transaction. Check names, order references, supplier costs and delivery dates before submitting the enquiry. If the supplier record reflects an outstanding issue, explain its current position and the correction being pursued through the relevant source channel.
Our Purchase Order Funding Solutions address the costs of fulfilling qualifying awarded orders. After delivery, our Invoice Discounting Solutions relate to eligible unpaid invoices and their supporting evidence. Choose the route that matches the transaction stage. Keep the CSD report with the other requested business documents and let the team assess the full file, rather than treating registration as an automatic funding approval or a replacement for the evidence behind the order.
